In 2018, we were faced with the prospect of incurring significant upfront costs for a new server, so we considered the idea of transitioning to the cloud. As our practice expanded from a single office to three, it became clear that our aging server could no longer meet our evolving needs.

We found just what we needed after deciding to migrate from Eyefinity’s server-based solution, OfficeMate, to cloud-based software— Eyefinity Practice Management and Eyefinity EHR.

Our first glimpse of Eyefinity’s complete cloud solution came during a Vision Expo conference where we explored various options. We were impressed with how easy the software was to use and its intuitive layout, making it the clear winner for our office.

One great advantage of this system is being able to pull bulk VSP authorizations and file claims without leaving the software. On the medical claims side, Eyefinity integrates with TriZetto, which reduces manual processes and prevents errors, saving my staff time and my practice money. The claim forms are automatically generated at patient check-out, then we submit the information to the medical insurer and the payments populate in the system, so we can reconcile the claims efficiently.

With cloud-based software, we can access our data securely from any device, giving us peace of mind. We no longer have to worry about our technology failing us and losing all of our charts and patient files if the server goes down.

Impressive Positive Impact on ROI

Not surprisingly, such user-friendly technology has transformed our efficiency and profitability. By streamlining our filing system, we now know when to correct and refile the claims that come back as unpaid, which has increased our third-party payments by 15 – 20 percent. Eyefinity makes the claim process seamless, and not only increases our bottom line, but also saves us from having to hire a costly third-party billing specialist.

In addition, the software’s integrated online appointment booking functionality, which is synced with our doctors’ schedules, has enabled us to increase our new patient rate by 10 percent.

Streamlined Inventory Tracking

With three offices to manage, having a centralized platform to monitor inventory levels is invaluable. The ease of printing labels and checking the availability of items in stock among multiple locations is especially helpful. We’re able to quickly identify which office has specific items in stock, adding an extra layer of convenience and organization to the inventory management process.

Eyefinity Practice Management’s inventory tracking also provides actionable insights on the turn rate of each frame and allows me to pull a report so that I can keep bestsellers on the board. Having a well-managed inventory has increased our capture rate and boosted frame/optical sales at all three offices.

Improving Our Patients’ Experience with Us

Prior to each patient’s appointment, they are sent a message through the patient portal, allowing them to update relevant medical history in advance. This information is then automatically uploaded into their chart relieving our staff from duplicate data entry. Not only is the examination process streamlined, but it also removes the need for patients to complete paperwork during their visit. Patients continue to retain access to their records via the patient portal even after the appointment.

Another feature our doctors love is that the EHR is accessible on an iPad, which allows them to stay more focused on their patients, maintaining engagement rather than having to face away from them to type on a desktop computer.

Make Better Business Decisions

Eyefinity makes it easy for us to run reports and see side-by-side comparisons of each of our offices. These key performance indicators help us determine what each office does well and where there are areas for improvement.

Overall, the system enhances my operational efficiency and contributes to my growth as a business professional. I am able to confidently grow our offices, making them more profitable and accessible for patients.
