Executing a profitable optometry practice expansion

As an optometry practice, we always strive to provide the best care for our patients.

Recently, we embarked on a significant journey that not only expanded our physical space, but also transformed the way we deliver care.

Our practice grew from 3,600 square feet to an impressive 9,500 square feet.

Here are the details of this expansion and its impact on our patient care and operations.

What Changed?

The expansion included four new examination lanes, a redesigned optical area, six advanced testing rooms and a dedicated contact lens training space.

This transformation was not just about adding square footage; it was about creating an environment that enhances the patient experience and accommodates our growing patient demand.

When Did We Do This?

Planning for this expansion began in 2021, and after meticulous design and construction phases, we proudly completed the project in 2024.

Our goal was clear: to create a more inviting and functional space that would allow us to serve our patients better.

What It Took to Create This New Space

Creating this new space required comprehensive planning across multiple disciplines, including architecture, structural engineering and interior design.

We also developed detailed phasing plans for construction to ensure a smooth transition while maintaining patient care. It was a collaborative effort that involved our entire team.

Timeline and Investment

The project officially commenced in 2022 and reached completion in 2024. The total cost ranged between $250 and $300 per square foot, excluding office furnishings and new equipment. This investment was significant, but we knew it was necessary for our growth.

Financial Considerations: ROI & Profitability

One of the most exciting outcomes of our expansion has been the financial impact.

The building is structured under a 20-year lease agreement, aligning our financial sustainability with long-term operational goals.

Since moving into the new space, we have observed a remarkable 20 percent increase in revenue, validating our investment. This increase is a testament to the profitability of our decision to expand.

Patient Impact: Transforming the Experience

We aimed to move beyond the conventional medical office setting. The new space offers a welcoming, modern atmosphere reminiscent of a family living room.

Our reception area features couches, lounge chairs, a fireplace and a lush plant wall. We even added a latte station, where opticians and front desk staff can prepare fresh lattes or coffee for patients, enhancing their experience beyond just an eye exam.

Practice Growth and Performance Metrics

Expanding from four to eight exam lanes effectively doubled our patient capacity.

Before the expansion, our revenue was capped at $2.7 million within the 3,600-square-foot space. In our first year operating in the new facility, we reached $3.7 million while utilizing only six exam rooms.

Looking ahead, we are set to onboard a new doctor in 2025, expecting to utilize all eight exam lanes and reach a projected revenue of $4.7 million.

Operational Adjustments and Workflow Enhancements

Patient flow was a critical consideration during the design phase. We optimized movement within the practice by incorporating lessons from our previous layout while integrating new efficiencies. Our expanded testing rooms are fully equipped to streamline diagnostic procedures and improve workflow.

In addition to optimizing patient movement, we focused on enhancing staff efficiency and well-being. We introduced adjustable, moveable desks with both standing and seated options, allowing team members to work in ergonomic comfort.

Two treadmill desks were also installed, enabling staff to manage administrative tasks while walking up to three miles per hour—improving both health and productivity.

A full kitchen was another key addition, featuring a gas cook-top, oven, range hood, dishwasher and espresso machine. This investment has encouraged staff to cook hearty meals on-site, reducing reliance on takeout and fostering a healthier workplace.

Many team members have even begun cooking together, sharing meal costs and strengthening camaraderie within the practice.

Staff Experience and Morale

The transition had a profound impact on staff morale. On their first day in the new space, many team members remarked that it felt like starting a brand-new job.

The previous office had maxed out its capacity—there was no room left for additional workstations, computers or phone lines. The new environment enhances collaboration and efficiency while improving day-to-day operations.

Final Thoughts: Re-Imagining Patient Care & Staff Work Life

This expansion was about more than just increasing square footage; it was about re-imagining patient care and improving the work environment for our staff.

The investment in space, design and patient experience has paid dividends in practice growth, operational efficiency and overall satisfaction for both patients and team members.
