AI assistance in making a great first impression

First impressions matter, especially in optometric practice. The way patients are greeted and guided through that first interaction often sets the tone for their entire experience.
As we move into an era where artificial intelligence is rapidly changing our field, I see AI as a powerful tool to help us make those crucial first moments with patients not just pleasant, but memorable.
Earlier this year, I attended the Vision Monday Summit 2025 in Orlando. One keynote speaker played a video showing a seamless exchange between a customer and a car dealership sales rep. The conversation was so natural and professional that I was stunned to learn the “salesperson” was in fact an AI attendant. That moment made me realize just how far AI has come and how it can be harnessed in the health care setting to wow our patients from the very first hello.
What an AI-Boosted First Impression Looks Like
Picture this: In your practice, an AI system acts as a friendly, virtual receptionist—consistently greeting patients, answering basic questions and providing directions. Unlike a busy front desk that can sometimes seem rushed or distracted, an AI attendant gives each patient its undivided attention and responds with accuracy every time.
Here’s what AI can do to help you make a winning first impression:
- Respond promptly and politely to patient inquiries, whether on the phone, through your website or via messaging
- Streamline appointment scheduling by checking availability in real time and confirming details within seconds
- Gather and verify insurance information as part of the booking process, reducing headaches later
- Provide clear, personalized information about office policies, services or necessary preparations for an appointment
- Send friendly reminders, directions and even a “welcome” message before a patient ever steps through your door
To find technology that will do these things, I recommend that the reader enter the phrase “AI telephone answering system” into ChatGPT.
Consistent, Friendly and Professional—Every Time
AI never has an “off” day. It greets every patient the same way—professionally, warmly and with the information they need. Sick days, long hold times and mixed-up messages become things of the past. Patients feel cared for from their very first contact, setting a positive tone for the rest of their visit. With an AI solution, your practice can present a polished, reliable first impression no matter how busy the front desk gets.
AI as a Foundation—But Keep the Human Touch
Of course, technology can’t and shouldn’t replace genuine human connection. While AI can deliver an outstanding initial experience and take pressure off your staff, it’s our responsibility to step in when empathy or nuance is needed. Use AI to ensure that every patient is welcomed the right way, then double down on personal service as they interact with your team face to face.
Transparency Matters
It’s important to let patients know when they’re communicating with an AI system. A straightforward, honest approach preserves trust and shows that you are embracing new tech responsibly and in the patient’s best interest.
Aiming for Raving Fans, Not Just Satisfied Patients
Even the most advanced AI can only be part of the puzzle. Our real goal should be to create “Raving Fans”—patients so delighted by their experience that they become ambassadors for your practice. That process starts the minute they reach out, and AI can ensure every greeting and answer helps patients feel valued.
Conclusion: Set the Bar High From Hello
First impressions are lasting. By leveraging AI to handle those first moments with polish, friendliness and accuracy, you set the stage for excellence throughout the patient journey.
Attention to detail, consistency and a proactive approach will elevate your practice, turning new patients into loyal advocates for years to come.
